Privacy Policy

MedRankers LLC (“MedRankers,” “we,” “us,” or “our”) is a Rhode Island-based local visibility agency. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit medrankers.com (the “Site”), submit a business inquiry, request a Visibility Review, consider or purchase our services, or otherwise communicate with us.

This Policy applies to website visitors, prospective clients, clients, and other business contacts. It does not apply to patient records or protected health information handled under a separate written agreement.

1. Information We Collect

Information You Provide

We may collect information that you voluntarily provide, including:

• Your name, professional role, work email address, and phone number.
• Your practice or business name, website, service locations, and number of locations.
• Information about your business goals, local visibility, priorities, timing, and service needs.
• Information included in messages, forms, emails, calls, meeting requests, proposals, or other communications.
• Account, billing, subscription, and transaction information related to our services.
• Any other business information you choose to provide.

When you request a Visibility Review or similar service, we may also review and retain publicly available information about your practice, such as your website, Google Business Profile, public reviews, directory listings, service areas, and visible competitors.

Information Collected Automatically

When you use the Site, we and our service providers may automatically collect certain technical and usage information, including:

• Internet Protocol address.
• Browser type, device type, and operating system.
• Referring and exit pages.
• Pages viewed and actions taken on the Site.
• Date and time of visits.
• Approximate location derived from an Internet Protocol address.
• Cookie identifiers and similar technical information.
• Information used to detect spam, fraud, security threats, and technical errors.

We may combine this information with other information when reasonably necessary to operate, secure, and improve the Site.

Payment Information

Payments may be processed by Stripe or another payment service provider. The payment provider may collect payment card, bank account, billing, identity-verification, and transaction information directly from you under its own privacy policy.

MedRankers generally does not receive or store your complete payment card number or complete bank account credentials. We may receive limited transaction information, such as the payer’s name, billing contact information, payment amount, payment status, transaction date, and payment-method type.

2. Do Not Submit Patient Information or PHI

The MedRankers Site and its inquiry forms are intended only for business communications with medical practice owners, professionals, managers, and authorized representatives.

Do not submit patient names, dates of birth, diagnoses, treatment information, medical record numbers, insurance information, medical records, or other protected health information (“PHI”) through the Site, email links, scheduling tools, or inquiry forms.

The Site is not a patient portal, clinical communication system, emergency service, or method for obtaining medical advice or care.

If MedRankers learns that patient information or PHI was submitted through a public website form without authorization, we may take reasonable steps to restrict access to or delete that information, subject to applicable legal and recordkeeping requirements.

Our standard marketing services and public website forms are designed not to require PHI. If a proposed engagement would require MedRankers to create, receive, maintain, or transmit PHI on behalf of a healthcare organization, the parties must evaluate the arrangement and enter any required written agreements before that information is provided.

3. How We Use Information

We may use personal information to:

• Respond to inquiries and communicate with you.
• Schedule and conduct business conversations.
• Evaluate whether MedRankers services may be appropriate for a practice.
• Perform a requested review of publicly available practice information.
• Prepare proposals, service recommendations, diagnostic scopes, and agreements.
• Provide, manage, support, and improve our services.
• Administer subscriptions, invoices, payments, cancellations, and refunds.
• Maintain business and accounting records.
• Understand Site usage and improve performance, content, and user experience.
• Protect the Site, MedRankers, our clients, and others from spam, fraud, misuse, and security threats.
• Troubleshoot technical problems.
• Send service-related communications.
• Send marketing communications when permitted by law or when you have requested them.
• Comply with legal, regulatory, tax, accounting, and contractual obligations.
• Establish, exercise, or defend legal claims.

4. Cookies, Analytics, and Similar Technologies

The Site may use cookies, tags, local storage, and similar technologies to operate correctly, remember technical preferences, understand Site usage, measure performance, and protect forms from spam and abuse.

Google Analytics

We use Google Analytics to understand how visitors find and use the Site. Google Analytics may collect information such as page views, session activity, device and browser information, approximate location, referral information, and cookie or device identifiers.

Google processes this information according to its own terms, policies, and the settings configured for our Google Analytics account.

You can limit cookies through your browser settings. Google also provides a Google Analytics Opt-out Browser Add-on.

Disabling cookies or analytics technologies may affect certain Site functionality or the accuracy of Site measurement.

Google reCAPTCHA

We use Google reCAPTCHA on forms to help distinguish legitimate users from automated traffic and protect the Site from spam and abuse. reCAPTCHA may collect hardware, software, device, network, and interaction information and send it to Google for security analysis.

Your use of reCAPTCHA is subject to Google’s Privacy Policy and Terms of Service.

Browser Controls

Most browsers allow you to block, delete, or receive notifications about cookies. Browser settings apply only to the browser and device where they are configured.

Some cookies or similar technologies may be necessary for security, form submission, or basic Site operation.

MedRankers does not sell personal information for money.

We do not currently use personal information collected through the Site for targeted advertising based on activity across unrelated websites or services. If these practices materially change, we will update this Privacy Policy and provide any notice or opt-out method required by applicable law.

We may use aggregated or de-identified information that cannot reasonably be linked to a particular individual for analytics, planning, reporting, and service improvement.

7. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including to:

• Respond to and maintain records of business inquiries.
• Provide and support services.
• Maintain financial, subscription, and transaction records.
• Comply with legal, tax, accounting, and contractual obligations.

However, no website, email service, network, transmission method, or storage system can be guaranteed to be completely secure. You should not send sensitive personal information, patient information, medical records, or PHI through the Site or ordinary email.

We may need to verify your identity or authority before completing a request. We may deny or limit a request when permitted by law, including when we cannot reasonably verify it, when an exception applies, or when information must be retained for legal, security, contractual, or recordkeeping purposes.

We will respond within the period required by applicable law. If applicable law provides an appeal right and we decline your request, you may reply with the subject line “Privacy Appeal” and explain why you believe the decision should be reconsidered.

To stop receiving optional marketing emails from MedRankers, use the unsubscribe method included in the message or contact hello@medrankers.com. You may continue to receive necessary service, transaction, account, or legal communications.

10. Third-Party Websites and Services

The Site may contain links to third-party websites, platforms, or services. MedRankers does not control the privacy, security, or content practices of those third parties.

This Privacy Policy does not apply to information collected independently by third parties. Review their privacy policies before providing them with personal information.

11. Children’s Privacy

The Site is intended for business users and is not directed to children. We do not knowingly collect personal information from children through the Site.

If you believe a child has provided personal information to us, contact hello@medrankers.com so we can review and, where appropriate, delete the information.

12. Processing in the United States

MedRankers is based in Cumberland, Rhode Island, United States. We and our service providers may process and store information in the United States and other locations where our providers operate.

If you access the Site from outside the United States, your information may be transferred to and processed in a country whose privacy laws differ from those in your location.

13. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes to our services, technology, service providers, business practices, or legal obligations.

When we make changes, we will post the revised Policy on this page and update the “Last Updated” date. If required by law, we will provide additional notice of material changes.
